Can I bulk upload images or files?

Yes you can. There are two methods.

1) For small number of files you can compress them into a 'zip' file.

Login to the Frontis site and navigate to the record where you want to import the files. From the record menu choose Add Content – Image/Document.
Click the Browse button and navigate to where you created the zip file and select it. Fill in all the other details as usual. when complete the system will display a summary screen.

2) For large numbers of files you need an 'FTP' login for your site. See the Frontis Administrator for more details.

Once you have this use it to upload all the files to your site. Now you need to let the Frontis system know that they are there so it can process them, so Login to the Frontis site and navigate to the record where you want to import the files. From the record menu choose Add Content – Image/Document.
Click on the ‘Process pre-loaded files’ option and a text box will appear. Type in the name of the Folder where you uploaded the files. Fill in the rest of the information as usual and then click Next.
The system will then process the files and if successful you wil be presented with a summary screen. The Folder where you uploaded the files will now be empty of all the files that were successfully processed.

Can I bulk upload users details?

Yes, you can upload Users details from a csv file exported from Excel. Go to the Administration Page and then choose User Admin. One of the menu items at the top is Import Users from a file. Detailed instructions on file format are given during the import process. You can also specify how the system should behave if duplicate user names are found on import. Options are either to overwrite the existing user information with the new imported details, or to ignore the details in the imported file.

Can I export all my users details?

Yes, you can export the entire User database. Go to the Administration Page and then choose User Admin. One of the menu items at the top is Export Users. Click on this and you will be asked whether you want to Open or Save the file. The file is in 'Comma Separated Value' (csv) format, which can be opened either by a text editor or by most spreadsheet programs.

Can I read images directly from a scanner of other imaging device?

Yes Frontis has a scanning module which uses the 'TWAIN' standard. Unfortunately as we use a third party plug-in, there is an extra charge for this, so please see your Frontis administrator.

How do I link transcription indexes to digitised images?

It is possible to create a link from an individual entry in a dataset to a Word document, Image or other file held elsewhere.

There are two ways to do this.

1) If each entry in the dataset links to a different document/file e.g. a picture of the monument or the digitised page in a register.

It is possible to link each row in the csv file to a file in the same record. E.g.
Test.csv contains:
John, Smith, 1898, Delhi, johnsmithstomb.jpg
Fred, Bloggs, 1899, Simla, cemeteryplan.doc
If johnsmithstomb.jpg and cemeteryplan.doc are loaded as files into the same record as Test.csv then Frontis will provide a link to the file in the Detail page. The field containing the filename must be classified as Internal File Reference on import of the csv file.

2) If all the dataset entries link to the same file e.g. cemeteryplan.doc then you needn’t put it into each line in the csv file. You can link the dataset and the file after they have both been imported into the same record. In the Admin menu for either the dataset or the file choose ‘Add relationship’ This will allow you to create a button which links the two items.

Can I download the original dataset file?

You can 'retreive' the original file which was uploaded to add a dataset. Log in as an adminstrator, and go to the Admin page. Choose Reports then Import Batches and you will see the list of all the datasets which have been imported. You can click on the file link or you can click on the icon to view the contents of the file before downloading it. This also allows you to delete the entire batch from the repository. However any entries which were added to the dataset after the file was imported will remain, and you should delete these from the appropriate dataset menu within the record. Note that this is the original file which was uploaded and therefore will not reflect any changes made to the dataset from within the Frontis sytem.

Is there a maximum number of fields that I can have in my dataset?

No, there is no maximum number of fields so use as many as you like. Also note that empty fields are not shown to the user when viewing records onscreen, so it doesn't matter if most of yours are empty, they will only see those which have values.

Is there a maximum file size for images and documents which I want to load into the system?


Yes there is. This is set by the underlying system, but can be changed by the Frontis Adminstrator. When you Add a document or image to a record, the maximum file size limit will be displayed under the box where you have to specify the file name. If you need this changing then contact Frontis directly.

Can I change the position of the login box?

Yes you can place the login box in the header area and/or on the main page by using the {{login}} keyword when using the HTML editor to edit the header area and the main page. Please the keyword in the position where you want the login menu to appear.
